TERMS & CONDITIONS FOR OUR
IN PERSON GATHERINGS
Terms and Conditions
The following terms are in place to support a focused, respectful, and safe environment for all participants. By booking and attending an in-person gathering, you agree to abide by these terms and conditions.
Refund and Cancellation Policy
Payments are non-refundable unless the in-person gathering is cancelled by the organiser.
In extenuating circumstances, such as bereavement or serious illness, your participation may be deferred to the next available date, subject to availability and a deferral fee. Deferrals must take place within twelve months of the original event date and cannot be deferred a second time.
If you have chosen to pay by deposit or instalments and fail to make payments on the agreed dates, this will be treated as a cancellation on your part. Payments made up to that point will not be refunded.
No refunds, credits, or transfers are available on cancellation prior to, during, or after the start date of any in-person gathering.
All cancellations must be made in writing and sent to niamh@theheartofritual.com
Health and Safety
Participants are responsible for ensuring they are medically and psychologically fit to take part in an in-person gathering.
If you have a medical or psychological condition and/or are on medication that the organiser needs to be aware of, you must inform the organiser at the time of booking. If a relevant diagnosis is made after booking, it is your responsibility to inform the organiser before the gathering start date so that any necessary preparations can be made.
In-person gatherings take place both indoors and outdoors. Participants are expected to take sensible precautions for their own safety, including wearing appropriate clothing and footwear, and exercising due care in all environments (for example, on steps, uneven ground, or wet surfaces). Participants are responsible for their own conduct and personal safety throughout the gathering.
Drugs, Alcohol and Smoking
There is a strict no drugs or alcohol policy at all in-person gatherings. Participants must not consume drugs, stimulants, or alcohol during the gathering.
Any participant found to be under the influence of drugs or alcohol, or engaging in disruptive, aggressive, or inappropriate behaviour, will be required to leave the gathering immediately at their own expense. No refunds will be issued in such cases. Smoking is not permitted at any in-person gathering locations.
Damage to Property
Participants are financially responsible for any damage to the gathering venue, its contents, or grounds caused during their visit.
The cost of cleaning, repair, or replacement will be determined by the property manager or owner, and participants will be liable for these costs.
Force Majeure
In the event that the organiser is unable to deliver an in-person gathering as planned due to circumstances beyond their control (including but not limited to extreme weather, natural disaster, public health restrictions, illness, or other force majeure events), the organiser reserves the right to cancel, postpone, or modify the gathering. In such cases, participants will be offered a transfer to a rescheduled date or an alternative arrangement where possible. No further compensation will be payable.
Right to Refuse or Withdraw Participation
The organiser reserves the right to refuse admission or withdraw a participant from an in-person gathering if, in their opinion, the participant’s behaviour, health, or conduct poses a risk to themselves, others, or the smooth running of the gathering. In such cases, no refunds will be issued and the organiser is not liable for any additional costs incurred.
Travel, Insurance and Personal Belongings
Participants are responsible for organising their own travel, insurance, and personal belongings. The organiser is not responsible for any loss, damage, or expense incurred in connection with travel to and from the gathering, or for any personal items lost, stolen, or damaged during the gathering.
Programme Changes
The organiser reserves the right to make changes to the gathering schedule, content, or facilitators where necessary. Any such changes will be communicated as soon as possible and will not affect the overall quality or intention of the gathering.
Age Requirements
All participants must be 18 years of age or older to attend in-person gatherings.
Governing Law
These terms and conditions are governed by and construed in accordance with the laws of Austria. Any disputes shall be subject to the exclusive jurisdiction of the courts of Austria.
By booking and attending an in-person gathering, you confirm that you have read, understood, and agreed to these Terms and Conditions.
